Donor Services Specialist


Location: New York City preferred but not required

Reports To: Kairos Center Development Coordinator

Supervises: Interns & volunteers

Salary: $50,000–$65,000 annual salary plus benefits

Position Description: Manage constituent data systems; process and record gifts and gift acknowledgements; coordinate direct mail, sustainer and other donor/prospect outreach; coordinate donor research; maintain department meeting schedules; undertake foundation research, oversee proposal and reporting deadlines; interact with donors/prospects and other Kairos stakeholders as appropriate. 

Organization Description: Drawing on the power of religions and human rights, the Kairos Center for Religions, Rights, and Social Justice — one of the two national anchor organizations for the Poor People’s Campaign: A National Call for Moral Revival — works to raise up generations of religious and community leaders committed to the unity and organization of the poor as the leading social force in building a broad transformative movement to end poverty.

Essential Duties:

Coordinate & streamline data management and donor tracking. Maintain the accuracy of the Kairos database including capturing participants & their contact information at in-person and online events, supervising interns to do data entry, uploading lists, resolving duplicate entries, making address corrections, managing salutations & other donor preferences, tracking cultivators, and recording various Kairos contacts with donors. Coordinate with communications staff to ensure database and Kairos email program are in sync.

Segment donor lists for outreach, queries, mailings & reports. Produce monthly reports summarizing fundraising activities, results and income. Furnish data files and statistical information as requested. Work with finance staff ensure income is recorded correctly.

Manage gift acknowledgment process including writing acknowledgment letters and personalized thank you notes to major donors.

Coordinate the Kairos sustainer program including drafting letters and phone scripts, following up on expired credit cards for recurring donors, and being in regular touch with sustainers.

Assist in training staff and volunteer cultivators to approach, recruit, and steward donors.

Respond to donor inquiries.

Conduct basic foundation and institutional donor research, compile prospects and deadlines, draft documents, submit and track LOIs.

Maintain the Kairos fundraising calendar across various strategies – foundation submission and reporting deadlines, individual and institutional appeal schedule, monthly donor briefings. 

Coordinate outgoing mailings including printing, postal service, mailing labels, etc.

Manage Kairos merchandise, online store, and fundraising premiums.

Qualifications:

  • Bachelors degree or equivalent.
  • 3 to 5 years experience working in a development department.
  • Data management experience including advanced skills such as queries, reports, imports and exports.
  • Keen attention to details and ability to multi-task in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Ability to interact at the highest level of professionalism with prospects, donors, staff, volunteers, and vendors.
  • Integrity and sensitivity to confidential information.
  • Ability to work independently and as part of a team.
  • Passion for the Kairos mission and an expectation to engage deeply with this growing and important organization.
  • Experience with Raiser’s Edge and Action Network preferred.
  • Experience soliciting donations by phone and in person preferred.

Physical Requirements: Currently (given COVID-19), work is performed remotely. Kairos has an office in New York City. Must be able to work irregular hours and some travel will be required post-pandemic.
