SUMMARY OF POSITION
The Executive Assistant provides a variety of administrative support to the Teaching Lab’s Executive Team members and ultimately contributes to overall effectiveness and impact our organization.
As a rapidly growing nonprofit, Teaching Lab seeks a motivated and entrepreneurial individual to increase the Executive Team’s efficiency and productivity. Eligible candidates must have experience in Executive Assistant or related administrative roles, is highly organized and detail-oriented, and is a strong communicator and writer. Ideal candidates have the ability to exercise good judgment in a variety of situations, can maintain a realistic balance among multiple priorities, can work independently on projects, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. Above all, any candidate must have a demonstrated commitment to racial and educational equity. This position has high potential for both large-scale impact and career growth.

ESSENTIAL DUTIES AND RESPONSIBILITIES
The Executive Assistant will engage in the following:
· Maintain and organize the CEO's calendar, including scheduling appointments, prioritizing high stakeholders such as board members and funders
· Screen emails and calls aligned with CEO and organizational priorities
· Schedule appointments for three other members of the Executive Team
· Manage information flow to Executive Team in a timely and accurate manner
· Communicate with and schedule applicants for all staff hiring processes
· Put together meeting briefs and background for external and internal meetings
· Assist in copying and preparation of proposal packets for submission
· Coordinate and prepare materials for full-staff events and meetings, board, and board committee meetings
· Attend board meetings and some external meetings to prepare minutes and assist with follow up actions
· Assist with accounts receivable and accounts payable
· Track and monitor timelines
· When travel resumes, coordinate travel details, prepare and submit expense reports for the Executive Team
· Organize and maintain the online organizational filing system
· Oversee special projects, potentially including support of our communications strategy, human capital/hiring strategy, and design of key systems and structures
QUALIFICATIONS
Education, Work Experience, and Knowledge
· Associate’s degree
· 2+ years of experience supporting Executive leaders; experience supporting multiple Executive leaders at the same time is preferred
· Expert user of Google calendar and Google suite products
· Experience working in a Customer Relationship Management (CRM) system; experience in Oracle Netsuite is preferred
· Working experience in K-12 education is preferred

WORKING AT TEACHING LAB
All roles at Teaching Lab are contingent on business needs.
Teaching Lab offers a comprehensive benefits package for full-time salaried employees, including: organizational contribution of 100% employee costs and 50% of dependent costs for health, dental, and vision insurance; a 401(k) program with a 4% employer match; technology equipment; monthly technology reimbursement; and generous time off and leave policies.
This position is eligible for remote work anywhere in the continental United States, and may require some travel (up to 4 times a year) when travel resumes.
