PURPOSE

The Ridhwan Foundation is a Berkeley-based nonprofit religious association that supports the work of the international contemporary spiritual path, the Diamond Approach (www.diamondapproach.org) and the worldwide Ridhwan School.

The Online Group Administrator will be part of the Diamond Heart Online 1 (DHON1) Team and will provide administrative support for DHON1 teachers and students. This role will be responsible for handling the day-to-day administrative operations of DHON1 including: supporting financial processes, acting as first point of contact for students/prospective students, interfacing with Ridhwan Foundation staff, providing technical support, coordinating teachers, managing Zoom platform, etc. This is an independent, off-site position, requiring a home office and tech-savvy, self-organizing capacities.

ESSENTIAL JOB FUNCTIONS

▪      Support day-to-day administration of the DHON1 group.

▪      Work closely with DHON1 lead teachers to prepare, automate, send, and respond to student communications in timely ways

▪      Meet regularly with group teachers to assist with group planning, scheduling, projects, and other activities

▪      Support group formation including responding to public information requests, maintaining student/prospect lists, and processing new student applications

▪      Administer private online Facebook community during group formation

▪      Provide online technical support for students/prospects via FreshDesk application

▪      Organize and maintain records for students at all levels of membership in Ontraport/ActiveCampaign and Excel

▪      Use WordPress and Ridhwan Foundation website to manage group activities, including updating group web pages, tracking online registrations and group membership, and coordinating Zoom host and recording admin activities in concert with lead teachers

▪      Manage bookkeeping/finance for the group, including processing teacher payroll and group expenses, financial reporting, and accounting system entries

▪      Prepare annual program budget and reports with ongoing review and oversight of actual vs. projected budgets

▪      Support live events as coordinated with teachers, including managing group Zoom account, scheduling events, monitoring registration numbers, arranging hosts and account upgrades as needed.

▪      Coordinate/interface with other Ridhwan Foundation staff as needed, including use of project management tool (ClickUp) and inter-departmental messaging tool (Slack)

▪      Other job-related duties as assigned

REQUIREMENTS

·      Bachelor’s degree or equivalent work experience.

·      Minimum 3 years of relevant administrative and/or program management experience.

·      Skilled in MS Office Suite including strong Excel skills and MS Word.

·      General tech savviness and ability to pick up and navigate new technology with an eye towards optimizing workflows

·      Experience with online platforms and tools, including basic WordPress navigation, Zoom, Project Management software, Google Docs, cloud-based file sharing, others.

·      Strong mathematical ability, knowledge of basic accounting principles, and familiarity with accounting software

·      Enthusiastic, self-motivated, and possess the ability to execute with minimal direction.

·      Meticulous attention to detail with the ability to manage complex details. A passion for continuous improvement.

·      Innovative and creative, with a logical and methodical approach to problem-solving.

·      Able to manage multiple, competing priorities successfully.

·      Outstanding interpersonal skills, including the ability to interact with staff, teachers, and the public in an effective, professional, confidential, and tactful manner.

·      Ability to communicate clearly and effectively, both orally and in writing, including communication of technical concepts to people who do not share that expertise.

·      Familiarity with/interest in spiritual/personal growth paths and organizations
