About New Left Accelerator

New Left Accelerator [1] (NLA) is a 501(c)(4) nonprofit that runs capacity-building programs focused exclusively on supporting progressive organizations, movements, and state ecosystems that use multiple legal entities to build power, increase impact, and win. We do this by running a two-year accelerator program, providing technical assistance to progressive power-building organizations, running an election year capacity program called Empower and Protect, and serving as a learning resource and hub for the progressive movement. NLA is dedicated to improving how the progressive ecosystem supports leaders taking bold steps to build power in key states.

NLA works in partnership with The Capacity Shop [2] (TCS), a 501(c)(3) organization. NLA and TCS center impacted communities in our work. This means we prioritize partnering and collaborating with organizations that center the experiences and voices of marginalized groups at the intersection of race, gender, and class.  

To guide our internal practices and partnerships, NLA and TCS developed a set of core values [3] and a theory of change [4], which includes a commitment to create systemic change; deep collaboration with stakeholders and leaders to build power and sustainability within the progressive ecosystem; and a commitment to equity and work that address systemic oppression.

NLA works closely with a cohort of social justice leaders and staff of organizations led by and organizing in collaboration with Black, Indigenous, and people of color (BIPOC), women, and other historically and currently underserved communities.

The Role

The Executive Assistant (EA) is a key member of the NLA team reporting to the Executive Director (ED) to keep the ED organized, informed, and prepared for anything that comes their way. The EA provides both general and advanced administrative support for the ED related to all areas of ED’s portfolio. 

Responsibilities

Embed NLA Values in Executive Assistance

  • Engage in continuous learning as to how race, background, and experiences have affected us within systems of oppression, providing loving feedback, and building intentional accountability practices in all of our work
  • Ensure our values and anti-oppression principles drive our programs, partnerships, processes, and systems — naming power dynamics and working to shift them
  • Help NLA do the work of capacity-building differently by dismantling aspects of the dominant culture of nonprofit consultancy that often fail to value the diverse lived experience, expertise, and knowledge of community leaders
  • Honor leaders' wisdom; build intentional learning into our external work, internal practices, and partnerships; and co-create innovative solutions to emergent challenges

Executive Support 

  • Assist in facilitating open communication and support an efficient, agile work environment for the organization’s ED. 
  • Provide high-level administrative support to the ED including, but not limited to, handling internal/external scheduling requests and meeting arrangements, preparing materials as assigned, and managing meetings. 
  • Serve as the primary point of contact and representative of the ED at all times 
  • Manage ED’s daily calendar and to-do list items, including scheduling work blocks, supporting meeting preparation by providing pertinent notes, bios, and briefs
  • Provide support for ED with scheduling, administrative projects, and donor/funder meeting preparation and stewardship efforts.
  • Download intelligence from ED and transcribe to multiple repositories and/or share as directed
  • Prepare materials and generate or edit correspondence, communications, and other documents to support the ED in planning, convening, leading, attending and presenting at meetings, interviews, public speaking engagements, etc.
  • Receive the EDs incoming calls and correspondence, including email, in a professional and courteous manner directing requests to the appropriate individual(s) and/or providing the support requested
  • Provide technology and project management systems support for the ED
  • Schedule meetings for the Organizational Leadership Group, Executive Management Team, Board Executive Committee
  • Act as an accountability partner with the ED, monitoring and managing pending projects and follow up to ensure execution
  • Oversee conference schedule and keep registrations updates along with project managing travel timelines

Board Support

  • Assist the ED in preparing all necessary materials (agenda, executive report, departmental report, communicating with the board admin consultant) for quarterly board meetings, ad hoc committee meetings, and annual board retreats
  • Serve as initial point of contact for requests and inquiries from the Board of Directors
  • Work closely with the ED and other staff to track Board communications and address board needs in a timely manner
  • Coordinate, attend and provide administrative support for board and committee meetings; generate minutes and task lists in alignment with the Board Administrative Consultant
  • Update and maintain board files and online shared files 
  • Maintain the highest standards of care, professionalism and confidentiality
  • Schedule internal and external meetings and arrange logistics, securing privacy if necessary for the EDs meetings with the Board of Directors, Organizational Leadership Group. Donors, Staff, and other guests

Minimum Qualifications

  • Strong commitment to progressive values and NLA’s mission and organizational values [7] that center racial, gender and economic equity and justice
  • Minimum of 2 years of progressively complex administrative experience, advanced project management, event/retreat planning, communications, or equivalent experience required. 
  • Bachelor’s degree or other relevant equivalent educational attainment or certification preferred or equivalent experience 
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) and online meeting tools, such as Zoom and Teams 
  • Exceptional writing skills and comfortability with writing reports 
  • Strong communication skills  
  • Ability to support the needs of leadership to carry out the initiatives of the organization 
  • Advanced project management skills and comfortability with managing multiple ongoing projects; experience with Asana and Airtable is a plus 
  • Ability to handle sensitive information in a confidential manner 
  • Must have the ability to work independently, be resourceful, and take initiative in an agile environment
  • Must exhibit excellent dependability, judgment and flexibility in dealing with changing priorities
  • An understanding of Board governance
  • Ability to flex working between east coast and west coast time zones
  • Ability, and willingness to work in and contribute to development of an emergent environment of a growing start-up nonprofit where systems and process are often developed and staff must be emergent and creative to meet evolving needs of growing organizations and programs
  • Ability work at a computer for multiple hours and work independently

Desired Qualifications

  • 5+ years of administrative experience
  • Experience working with a database or CRM
  • Experience working in a non-profit, with political campaigns, independent political organizations, 501(c)(4)s, movement building, compliance or finance in multi-entity organizations, mission-driven organizations, and/or fiscal sponsorship
  • Experience working with organizations that are centering diversity, equity and inclusion and developing/maintaining systems that increase internal and external operations that support racial, gender and economic justice
  • Technical knowledge of principles of performance measurement, monitoring and evaluation, data management and data analysis
  • Interest in and ability to build relationships on behalf of NLA 
  • Sense of grace and humor in the face of challenges
  • Location in the Bay Area and interest in some in-person collaboration with the ED would be a plus but is not required
