Administrative and Human Resources Assistant 🔥
This is a full-time, remote position supervised by the Chief Operating Officer (COO), and working closely with the Chief Executive Officer (CEO). The ideal candidate for this position will thrive in a fast-paced environment, be an independent problem-solver, and have a passion for conservation. Major responsibilities:
Administrative
- Provide travel, scheduling, and expense report assistance to the CEO.
- Provide meeting preparation and follow up assistance to the CEO.
- Process employee expenses, reimbursements, and cash advances.
- Ensure compliance with state charity registration requirements.
- Research and help implement project management software for organization-wide use.
- Assist with the organization of team meetings and retreats.
- Administer GFG’s general email account, respond to emails, and forward appropriately.
- Take Board meeting minutes, compile and distribute Board packets, and maintain Board directory with contact and term limits.
- Assist in purchasing and keeping inventory of GFG equipment, including computers.
- Maintain a directory of GFG’s insurance policies and ensure that policies are proactively reviewed and renewed.
- Manage GFG’s subscriptions.
- Other duties as requested by the CEO or COO.
Human Resources
- Post job announcements, track applications, and schedule interviews.
- Maintain staff employment files.
- Assist with the administration of GFG’s health insurance policy.
- Serve as the point person for GFG’s Employers of Record services for non-US employees.
- Assist with the onboarding of new employees, including creating schedules and introduction to GFG resources.
- Track paid leave for all employees through Gusto.
- Maintain all HR documents and relevant files in Shared Google Drive.
- Assist in the coordination of annual staff plans and reviews.
- General HR processes and other duties as requested by the CEO or COO.
Qualifications:
- A minimum of 2 years of administrative and/or human resources experience required.
- Must be eligible to work in the United States and must be US-based.
- Google Suite expertise (including Sheets, Doc, Drive, Meet, and Calendar, among others).
- Ability to meet deadlines, multitask, and pay close attention to detail.
- Ability to maintain confidentiality.
- Ability to work independently and as part of a team.
- Ability to speak Spanish is a plus, but not required.
