If you have proven success with supporting executives remotely, this role can be located anywhere within the contiguous U.S.

As the Executive Administrative Assistant III, you will provide concierge-level support to the SVP, Global Technology Infrastructure and the Vice President, Technology. You'll also provide support to others as needed and partner with other professionals across the enterprise to achieve strategic and business targets. What you'll do on a typical day:

  • Maintain the executive's calendar; update, communicate changes and resolve scheduling conflicts
  • Organize and schedule meetings (with both internal and external customers), set up meeting rooms, take food orders for events and meetings
  • Assist with maintaining/updating distribution lists
  • Assist with onboarding needs as required
  • Track and report on various IT process activities such as timesheet completion adherence or other key items of interest
  • Coordinate and team with other EAs within IT and around the company
  • Assist with expense report entry/reconciliation and submissions
  • Assist executives with their travel and related scheduling needs
  • Serve as a 'gatekeeper' between executives and vendor cold callers
  • Enter requisitions, purchase requests and other general process submissions as required
  • Update project codes, upload weekly project status reports, enter data and maintain numerous spreadsheets
  • Participate in highly confidential meetings and provide accurate transcription and documentation
  • Assist with drafting and/or coordinating high-level presentations, communications and documents using Word, Excel and PowerPoint
  • Work creatively with other team members to organize various events to help drive morale and engagement within IT



What you need to succeed at GXO:

At a minimum, you'll need:

  • Bachelor's degree or equivalent related work or military experience
  • 2 or more years of experience in an administrative or executive support role
  • Proficiency in Microsoft Office (Word, Excel and PowerPoint)
  • Demonstrated ability to effectively multitask and meet deadlines



It'd be great if you also have:

  • 5 years of experience in an executive support role
  • Strong customer service skills
  • Accustomed to supporting executives in multi-time zones
  • Proven ability to support executive leaders remotely
  • Ability to work well with little supervision and take charge as needed
  • An eye for detail, meticulous grammar and lots of creativity
  • Ability to maintain confidentiality surrounding company materials and information
  • Highly organized work style with excellent interpersonal skills
  • A "no job is too big or too small" attitude
