Customer Service Representative 🔥


Reporting to the Customer Service Manager, the Customer Service Representative will serve as liaison between internal sales, supply chain logistics, quality, production and external customer for all customer service related activities. This position is required to display a sense of leadership to each issue/task received by demonstrating effective listening, positive and detailed communication and the desire to resolve each issue with the highest level of service possible.

JOB RESPONSIBILITIES

  • Manages and maintains customer portal which is the vehicle for quotes, purchase orders and quality notifications. The acceptance of these items/actions is time sensitive and must be accomplished within the specified guidelines.

  • Reviews request for quote (RFQ) to ensure that all documentation including, customer specifications, has been received prior to submitting to the Cost Estimating department.

  • Creates and submits quote proposal to customer based on the approval of business development within 24 hours (KPI). Communicates pricing negotiations between customer and business development.

  • Verifies orders received are compliant with the associated quote or existing contract. Communicates discrepancies with customer and follows though until revised purchase order.

  • Submits purchase orders for contract review and follows up with any department causing a delay with order entry. Creates order and provides customer with acknowledgement within assigned 24 hours (KPI).

  • Responsible for submitting Engineering Change Request from customer to the appropriate team for cost and schedule impact. Communicate impact to customer and implement change if accepted.

  • Responsible for communicating alerts to the customer on delayed deliveries and providing detailed recovery plan.

  • Research return request and authorize return of material (RMA) based on appropriate guidelines which includes warranty, reason for return, etc. Communicate evaluation charge if applicable. Follow though on RMA process is required upon receipt of return.

  • Provides supporting documentation to the finance team which assists in the reconciliation of debits/credits.

  • Contributes to the performance of the customer service team by providing knowledge of dedicated account and the willingness to cross train.

  • Communicate and resolve scorecard discrepancies with dedicated account to ensure accuracy of supplier rating is captured.

  • Performs all other related duties as required.

Basic Qualifications:

  • AA/AS degree (or other 2-year post high school training) with a minimum of 6 years of relevant experience OR

  • In the absence of a HS diploma, GED or AA/AS degree, 8 years of relevant experience is required OR

  • A Bachelor’s degree in the appropriate discipline and less than 2 years of relevant experience.

  • Must be a U.S. Citizen

Preferred Qualifications:

  • Strong computer skills (proficiency in Microsoft Office Suite: Word, Excel, PowerPoint and Outlook).

  • Strong communication skills, oral and written

  • Strong organization skills
