Executive Assistant - Remote Position 🔥


We seek an experienced Executive Assistant (EA) who will work primarily with the Executive Director and provide some administrative support to other senior staff. The EA will proactively anticipate and address a variety of executive-level needs. This position requires someone who possesses tremendous organizational and time management skills and practices impeccable attention to detail. The right person for the job is self-motivated and both capable of and comfortable with communicating in a friendly, professional manner with staff, consultants, advisory board members, and external stakeholders on behalf of the Executive Director and the organization. This position is for someone who thrives in a fast-paced environment and gets things done quickly and effectively; enjoys taking care of things the right way the first time; and who figures out how to solve most challenges but asks smart questions when there is a need for guidance. 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Manage the Executive Director’s schedule and calendaring.
  • Assist directly with day-to-day organizational management and operation needs. 
  • Maintain physical and digital files relating to management policies and personnel hiring with necessary security and confidentiality.
  • Communicate on behalf of the Executive Director with colleagues, allied organizations, external stakeholders, and advisory board members.
  • Conduct research and prepare materials to advise Executive Director before meetings, convenings, and speaking engagements.
  • Research, recommend, and coordinate logistics for meetings and convenings, including travel, accommodations, and negotiating with vendors and consultants.
  • Accompany Executive Director to key meetings, convenings, and events, and provide administrative support.
  • Process financial transactions and reimbursements, including working with the Executive Director to ensure all necessary information and receipts are submitted in a timely fashion.

EDUCATION AND EXPERIENCE:

  • Bachelor’s degree or equivalent preferred.
  • 3-5 years of experience supporting an executive or senior-level director in an administrative support role required.

·      Familiarity with the reproductive health, rights, and justice movement a plus.

·      Commitment to racial justice/anti-racist principles preferred.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Quick learner and sharp observer who can anticipate executive-level needs and take the initiative to address them or offer useful solutions to meet them.
  • Exceptionally well-organized with a systematic approach to tasks applied consistently as a default and flexibly as needed.
  • Ability to triage and juggle multiple priorities efficiently in a fast-paced environment.
  • A skillful problem-solver who can synthesize information and plan for next steps.
  • Eagle’s eye for detail.
  • Ability to take initiative and self-direct day-to-day activities.
  • Flexible, friendly, and able to work cooperatively under pressure and collaboratively with remote staff.
  • Ability to communicate courteously and effectively with external partners, consultants, board members, and staff.
  • Strong inter-personal skills and ability to give and receive feedback well.
  • Basic knowledge about preparing financial reimbursement forms and ensuring accuracy in financial submissions.
  • Strong proficiency with Microsoft Word, PowerPoint and Excel; SalesForce, and G suite; familiarity with Box and Podio, a plus.
  • Ease of use of workplace apps including Slack, Google apps, and similar tools.

ORGANIZATIONAL RELATIONSHIPS:

Reports to Executive Director

WORK ENVIRONMENT: If/When/How maintains a physical office in Oakland, CA as well as a virtual office for remote working. Reimbursements for co-working spaces and home office equipment and supplies are available. Occasionally, employees may be expected to be available during off-hours and/or to attend events (e.g., conferences) on nights or weekends.

PHYSICAL DEMANDS: Reasonable accommodations will be made to enable individuals with disabilities to perform the essential functions. Most work will be done at a computer with some background noise. Requires typing, participating in meetings (live and virtual).

TRAVEL: Willingness to travel approximately 3-6 times a year within the continental U.S. Travel will be required to support convenings and meetings and for staff retreats.
