The Opportunity

People’s Action is looking for an experienced social justice practitioner to play a key role in supporting the effectiveness of People’s Action’s Executive Director. We are seeking an organized, high-performing, and thoughtful person who is excited about aligning the Executive Director’s day-to-day activities with the vision, values, and goals of the organization. This is a unique opportunity to serve as a part executive assistant and part strategic thinking partner to a senior staff member at one of the nation’s leading political organizations.

Overview of the Position

The primary function of the Executive Manager will be to provide administrative and strategic support to the Executive Director with particular emphasis on scheduling and time management, management of administrative tasks, and logistical planning. This position will also play a key role in promoting a sustainable, professional, organized, and collaborative atmosphere.

The Executive Manager is an innovative self-starter, who takes initiative and drives projects and tasks to completion. The individual thrives in a fast-paced environment, demonstrates extremely strong time management, and can work both independently with minimal supervision and collaboratively as part of a team. The individual must exercise extreme discretion as s/he will handle confidential information and manage highly sensitive internal and external communications, demonstrate good judgment, be adaptive, flexible, and highly trustworthy.

What you will do:

Executive Office Administration

  • Provides extensive and effective scheduling management of the Executive Director’s calendar and appointments (ensuring a clear purpose and strategic use of their time). This includes driving the coordination of appointments and meetings to support key areas of responsibilities. 
  • planning for meetings including working with other members of the Executive Team to develop materials, capture notes, and drive timely follow-up.
  • Coordinates all aspects of the Director’s calendar, schedules meetings, and calls as well as organize all the logistics for meetings called by the director, including identifying dates and locations and coordinating travel, lodging, and meals
  • Manages key logistical support, including booking travel accommodations, document editing and printing, processing and submitting expense reimbursements, timesheets, and leave requests for the Executive Director. 
  • Ensure that the Executive Director’s day-to-day activities align with organizational priorities, values, and vision that they support the Executive Director’s effectiveness
  • Support the Executive Director’s strategic thinking and alignment by asking critical questions about his priorities as well as organizational priorities
  • Build deep trust. Invest in relationships with staff in order to deeply understand their self-interest, including in-person time.
  • Participate in strategy sessions – with an eye towards organizational effectiveness and value-alignment – and provide thoughtful feedback to the Director 
  • Support the Executive Director’s management of email correspondence and organization of documents
  • Work in partnership with program and development staff to ensure that the Director is prepared for meetings and events
  • Represent the Director and provide her perspective on calls and meetings when needed

Boards of Directors

  • Support director and COO in Board meeting logistics. 
  • May serve as a board liaison on high-level logistical and administrative matters.
  • Works with the Chief Operating Officer to coordinate their engagement with board members as needed 

Events and Project Coordination 

  • Coordinates with the Marketing & Events Manager as needed on logistics for People’s Action’s meetings, conferences, workshops and presentations led by the director  
  • Coordinates special projects as needed under the COO
  • Works closely and professionally with the relevant allies, partners, consultants, and units across the organization to coordinate People’s Actions meetings and/or events. 

Writing and Communications

  • Drafts and formats letters and emails as appropriate for general and routine correspondence; mail correspondence, including potentially confidential information, both internally and externally. 
  • Prepares travel or meeting related documents, briefings, reports, itineraries, etc. 
  • Other Duties as Assigned

The ideal Executive Manager should have the following experience and qualifications:

  • Strong commitment to racial, gender, and economic justice and their intersections, both inside and outside the organization.
  • Ability to work with diverse people and organizations.
  • Commitment to racial, gender, and economic justice
  • Demonstrate sound judgement, flexibility and patience; exercise discretion in dealing with highly confidential and sensitive matters – both internally and externally.
  • 5+ years in project management, executive administration, or related work 
  • Ability to build strong working relationships 
  • Clear and direct communicator
  • Comfortable working in a remote work environment
  • Highly organized and systematic, with strong time and project management skills 
  • Excellent written communication skills, including precise editing
  • Demonstrated strategic thinking skills, including building an awareness of organizational goals and priorities
  • Flexible and comfortable working under pressure in a fast-paced environment, with shifting and competing priorities
  • Proven track record of developing systems and using technology to improve efficiency
  • Comfortable handling and being exposed to sensitive and confidential information 
  • Demonstrated clear and effective judgment/decision-making
  • Proficiency with Microsoft Office, Slack, Google Office, in particular, Google Calendar, Gmail, Google Docs, and Google Slides
  • Travel 2-3 times a year (we are currently not traveling)

The ideal Executive Manager preferred experience and qualifications:

  • Experience working with community organizing groups
  • Familiarity with foundation fundraising
  • Training or experience with organizational development
  • Bilingual

Compensation and Benefits:

Status: Full-time, Regular, Exempt, benefits-eligible

Salary Range: Level 2 $75,000-$80,000

Location. Based in our Chicago, IL office, Washington, D.C. or remote locations may be considered.  

Reports to: Executive Director

Benefits include: Health Insurance, Dental Insurance, Vision Insurance, Medical and Dependent Care Flex Spending Account, 403(b) plan, Long-Term Disability Insurance, Life Insurance, 10 paid holidays plus the last two weeks of the year that include Christmas Eve/Christmas Day as well as, New Year’s Eve/New Year’s Day, and you accrue two weeks of vacation your first year or employment.
