This is a rewarding full-time, salaried position reporting to the executive director. The primary purpose of our office is to support, facilitate, and enhance our jobseeker programs. The Office Administrator is responsible to oversee, train, and supervise our staff; maintain and optimize our information system and office functions; communicate with invested parties; and perform HR, finance, and advocacy functions.

Justice Jobs of Maryland is in an accessible office building in downtown Frederick, MD, on transit routes and four blocks from commuter train service. Employer-paid parking is directly behind our


RESPONSIBILITIES include managing or performing the following:


  • Support the jobseeker program by optimizing office function
  • Oversee day-to-day functions of operations staff and back-office volunteers
  • Maintain and optimize data entry/analysis and our information system
  • Procure office supplies
  • Support the executive director and program manager regarding communications, reports,
  • and programs
  • Ensure communications among staff, jobseekers, volunteers, and employers
  • Represent JJ at selected webinars and events
  • Support marketing (website, social media, and mail)
  • Facilitate recruitment and hiring
  • On-board, train, evaluate, and off-board staff
  • Manage accounts payable and invoicing
  • Interface with bookkeeper; assist with finance reports and filings
  • Assist with grant applications, grant reports, fundraising, and financial registrations
  • Help with jobseeker, volunteer, employer, and public information events

  • Administrative experience
  • Experience leading from the front and delegating effectively
  • Understanding of office and HR systems and procedures
  • Experience with accounts payable, billing, payment tracking, and data management/analysis
  • Experience as an Executive Assistant or Office Manager (2+ years preferred)
  • Post-high school business training
  • An understanding of non-profit organizations and how they relate to the community
  • Self-motivated, self-directed

  • Strong written and verbal communications
  • Balance between qualitative and quantitative thinking
  • Keyboarding
  • Microsoft 365: Word, Excel, Project, OneNote, OneDrive/SharePoint, Outlook
  • Salesforce or other CRM
  • Adobe, Constant Contact, Dropbox, QuickBooks, WordPress, and Zoom
  • Social media skills are a plus
  • $35,000-$45,000/year at 40 hours/week ($28,000-$36,000/year at 32 hours/week), commensurate with experience

COMMUNICABLE DISEASE POLICY: Staff must maintain current vaccinations against coronavirus and influenza. Visitors must provide contact info for contact tracing records. Masks are currently required in common areas and small offices, and in large offices when anyone present requests. All rooms have intake/outflow vents with continuous, HEPA-filtered air cycling.
