Position Summary

The Human Resources Associate will collaborate with fellow Operations team members to foster a positive, inclusive workplace environment, employee experience, and culture at ChangeLab Solutions. To meet the needs of our growing organization, ChangeLab Solutions is adding the new position of Human Resources Associate to our Human Resources (HR) team. The Human Resources Associate will support, coordinate, and implement a range of processes and tasks to advance effective, efficient HR and internal organizational operations. Reporting to the Human Resources Manager, the Human Resources Associate will work with the Human Resources Manager and, at times, our Chief Operations Officer to fulfill our HR work. The Human Resources Associate will also serve as a bridge between HR and operations functions, supporting workplace safety and office administration.

Key Responsibilities

Human Resources Operations (85%)

With guidance from the Human Resources Manager, support day-to-day HR operations:

  • Employee life cycle: Support employment verifications, new hire onboarding, mandatory trainings, accommodations, leaves of absence, separations, and other processes
  • Hiring and recruiting: Carry out hiring tasks, including job postings, scheduling, applicant tracking, candidate communication, and creation of recruiting documents
  • Record keeping and reporting: Organize and maintain HR documents and applicant and employee data with security, integrity, and confidentiality
  • Benefits and payroll: Provide administrative support for employee benefits processes, including enrollments, changes, terminations, carrier communication, and invoice management; coordinate with Finance team on billing and payroll details
  • Policies and procedures: Support the creation, maintenance, and application of policies and procedures, including the annual update of the Employment Policies Handbook, in accordance with federal and state requirements and organizational goals and priorities
  • Talent management and employee relations: Support initiatives in training, professional development, supervision, organizational culture, employee engagement, and equity, diversity, and inclusion; help develop and implement activities to cultivate a positive workplace culture and employee experience
  • Communication and support: Perform customer service functions by responding to employee requests and questions; draft emails; and contribute to HR communication with staff
  • Administrative support: Provide administrative support for the Human Resources Manager and HR work, including note taking and scheduling
  • Support strategic HR initiatives and special projects as needed

Internal Operations (15%)

Collaborate with members of the Operations team to support organizational operations, serving as a bridge between HR and Operations and holding responsibilities that fall at the intersection of these two functions:

  • Workplace safety: Support the Operations Manager in ensuring safety in our Oakland office and home offices and in meeting the workspace and equipment needs of staff; participate in safety committees; help with administration of workers compensation
  • Documentation and procedures: Organize processes related to trainings and employee documentation, such as vehicle insurance
  • Serve as the backup building liaison
  • Attend regular Administrative team meetings
  • Partner with members of the Operations team to ensure that the office runs smoothly and to cultivate a positive workplace experience

Required Education, Experience, and Skills

  • Minimum of two years’ relevant work experience
  • Excellent organizational skills, with keen attention to detail and accuracy
  • Ability to communicate clearly and directly, both verbally and in writing
  • Sound judgment, including the capacity for impeccable handling of sensitive information and maintaining confidentiality
  • Superb phone, video, and e-mail etiquette, to work cordially and effectively with ChangeLab staff and a wide range of contacts outside the organization
  • Strong computer skills, with the capacity to quickly learn and master new systems
  • Experience in HR work or a nonprofit setting is appreciated but not required

Physical Requirements

  • Ability to communicate via phone, email, and video conference
  • Ability to work at a computer for extended periods of time
  • For someone located outside the Bay Area, ability to travel to the Bay Area two to four times per year
  • Ability to lift and carry 10 pounds

This position is open to applicants throughout the United States and can be performed remotely; periodic travel to our Oakland office for meetings and in-person engagement will be expected. During the COVID-19 pandemic, ChangeLab Solutions staff have been working remotely from their homes, with the option for some in-office work depending on safety considerations and state and local guidelines. We are currently transitioning to a virtual-first hybrid workplace that supports options for in-person and remote work. Applicants should be comfortable with working from home and with virtual connection programs and practices.
