WORKPLACE DESCRIPTION 

Our work has taken place in various settings around the world, amidst traditional musicians, filmmakers, and remix artists, exchanging with their communities. Since March 2020, our work has entirely taken place in our respective home offices, communicating via email, phone and video calls. We are currently planning in-person programs with NY-based communities in 2022. For the time being, the workplace will remain predominantly in the form of regular remote communications with Brooklyn-based founder and creative officer, and board members currently based in NY, PA, TX and England. 

JOB DESCRIPTION 

We are looking to hire an Operations & Development Officer (ODO) with an exceptional track record of building and running a non-profit organization’s operational capacity and sustainability.

Our organization is at a unique crossroads, ready to take things to the next level: building dedicated operational infrastructure to further our mission and objectives. Over the years, we have demonstrated our ability to design and carry out unique cross-cultural programs that realize our vision around the world, but have been slowed down by the lack of a dedicated operational focus. In September 2021, we hired an Interim Operations Officer (IOO) who has helped us jumpstart our transition and lay down a new operational foundation, resulting in greater clarity in our strategic goals and various plans to meet those goals. Her commitments to our organization will wind down in January 2022. We are looking to welcome a dedicated operations expert to ensure our exceptional work is given the support it deserves and reaches more hearts and minds in NY and beyond.

The ODO will report to the Board of Directors and will be responsible for all operational and administrative functions of Remix ⟷ Culture. The OO will work closely with the Creative Officer (CO), who also reports to the Board of Directors.

RESPONSIBILITIES 

Capacity Building

  • Drive fundraising effort with the creation and implementation of annual fund development plan, including creation of budget and narrative proposals
  • Ensure relationships with partners are nurtured and foster mutually beneficial partnership.
  • Consult with the Creative Officer (CO) to identify and prioritize staffing needs; recommending changes needed.
  • Prepare and implement short-term and long-term plans to fund and meet those staffing needs.
  • Evaluate existing gaps in organization’s operational and administrative capacity and implement a plan to narrow those gaps to meet all legal requirements, industry standards and best practices.
  • Drive implementation of fund development plan strategies focused on funding capacity-building.
  • Streamline project management and communication of key dates, milestones, and deadlines across all staff to ensure all plans and staff are dancing to the same drumbeat.

Strategy

  • Work closely with the Creative Officer (CO) to ensure the organization's vision rests on sound operational principles.
  • Evaluate current and proposed strategies for translating the vision into action, prioritizing and recommending changes needed.
  • Consult with CO and Board of Directors (BoD) to identify and prioritize operational expenses, fundraising and revenue-generating opportunities.
  • Create and review fund development plan with CO and BoD.

Programming

  • Review program ideas with CO, research and prioritize based on operational / funding feasibility.
  • Assist CO with pitch proposal document preparation (e.g. one-pager, high-level budgets)
  • Create and drive operational plan for approved programs, taking the lead on solving problems that threaten successful execution of program.
  • At completion of each program, prepare and review program report with CO and board of directors to evaluate hits and misses, and integrate lessons learned.

Organizational Resilience

  • Manage systems of record keeping, including database, payroll, finances and vendor payments and ensure compliance of all local, state and federal laws and regulations.
  • Provide operational support to CO in soliciting and evaluating feedback from internal staff, external partners and audiences
  • Create metrics and analyze data to measure impact of Remix ⟷ Culture programming
  • Provide operational support as needed for identifying target audiences and distributing Remix ⟷ Culture branded content to them
  • Manage partner relationships and provide operational support as needed for presenting our content at festivals, cultural institutions, and other public spaces.
  • Reconcile financial accounts and create monthly reports.
  • Prepare and review quarterly “State of the Org” reports with the CO, board of directors, and staff; refine vision, revise strategic goals and fund development plan and/or implementation of strategies as needed.

REPORTS TO

Board of Directors, Co-leads organization with Creative Officer

REQUIREMENTS

  • 5+ years of experience in operational management, fund development plan creation and implementation, organizational administration, program/project management, preferably in a non-profit and/or music/film/arts setting.
  • Strong track record of organizational leadership.
  • Commitment to the mission, vision, and values of Remix ⟷ Culture, with the ability to render these into practice.
  • Knowledge of industry best practices, and legal, accounting and regulatory requirements.
  • Experience with accounting and financial reporting software and preparation of data displays and reports (proficiency with pivot tables in Google Sheets a plus).
  • Experience with CRM tools for effectively tracking donors and related fundraising activities.
  • Proficiency in online team collaboration tools (e.g. Slack, ToDoist, Zoho, Asana, Airtable) preferred.
  • HR experience a plus.
  • Excellent verbal and written communication skills, outstanding negotiation skills, professional composure under pressure.
  • Superior attention to detail and excellent organizational, time-management and project management skills with the ability to prioritize, multi-task and work independently as well as collaboratively as a member of a team.
  • Proven track record of effective analytical reasoning, critical thinking and creative problem solving.
  • Exemplary integrity and trustworthiness, demonstrated ability to exercise sound judgment and maintain confidentiality when dealing with sensitive matters.
  • Professional and emotional maturity that demonstrates warmth, dependability, responsiveness, initiative, flexibility, knowledge, and credibility.
  • Ability to interact effectively and maintain positive working relationships with partners, sponsors and board and staff of diverse backgrounds.
  • Fluency in language(s) other than English preferred.
