About the Job

Given the state of our democracy and the shifting social and political climate over the last few years, PACE’s aspirations have grown to meet the moment. As a small team with ambitious plans, this role is central to our ability to deliver results for our members, the field of civic philanthropy, and our democracy. 

The Operations Manager will support all facets of the organization, working directly with the leadership team.

Responsibilities

  • Ensure all organizational systems, technology/databases, and processes are highly reliable and always up-to-date. Identify gaps and needs where processes and systems could be updated or made more efficient.
  • Serve as a backbone for the PACE team by ensuring coordination and efficiency between staff members and across various streams of work.
  • Help the Executive Director coordinate staff meetings, agendas, work plans, and budgets.
  • Work with the Director of Learning and Experimentation to distill programmatic learnings and share them through newsletters, blogs, and website updates.
  • Help develop, manage, and execute organizational project plans and timelines, from big picture ideation to granular implementation. 
  • For programs this includes supporting research, planning, editing, and writing.
  • For operations this includes scoping and organizing processes, conducting due diligence research, and managing calendars. 
  • Manage materials and logistics for all convenings, meetings, and conferences. 
  • Support the leadership team as needed, including administrative tasks like scheduling and traveling. 

Requirements and Attributes

  • Passionate about civic engagement and philanthropy; service, organizing, and/or democracy-related experience is a plus. 
  • Commitment and dedication to PACE’s mission, vision, and principles [2].
  • Lover of details, project management, and supporting the work that makes the work possible. 
  • Very clear communicator, from writing, to logistics, to speaking on large conference calls.
  • Problem-solving and project management mindset: think backwards while implementing forwards in order to catch all the details and proactively prevent issues. 
  • Comfortable being tasked with lots of work and equally comfortable figuring things out, self-managing/prioritizing, and thinking a couple of steps ahead. 
  • Comfortable managing up and engaging leadership proactively. 
  • Confident with databases and various online tools and platforms. PACE currently uses WordPress, Airtable, Mailchimp. (It’s not necessarily required that you have prior experience with these specific platforms, but it is required that you are willing to learn).  
  • Ability, willingness, and excitement to travel quarterly.

Core Hours

We believe that delivering consistently top-notch work requires flexibility, especially as more people work remotely and strive to find balance in their lives. As such, we maintain “core hours” of 12:00-4:00 PM Eastern, during which we expect all team members to be available for collaborative work time and calls; outside of those hours, everyone manages their own schedule to fulfill their responsibilities.

Benefits and Salary 

The salary for the position is up to $55,000, with consideration for annual increases and potential for growth and promotion with the organization over time. 

Benefits package includes employer contribution to an insurance plan (health/dental/vision, disability, and life), generous paid leave and holiday policy, and employer IRA match up to 3% of salary. We also offer a monthly stipend for cell phone and internet service.
