Term of Employment: Full-time, Salaried, Exempt

Reports to: Finance Director

Position Objectives:

The current need for this position is to assist the Finance Director with the closing of the fiscal year-end accounting books and prepare for the upcoming annual audit. The ideal candidate will have experience with year-end close, restricted funding, and strong excel skills when preparing supporting schedules.

The Senior Accountant will also support the Finance Director by preparing schedules, recording journal entries, reviewing records, and reconciling ALDF’s accounting transactions in the organization’s QuickBooks Enterprise general ledger and other software programs. The Senior Accountant helps manage and actively participates in the accounting cycle to ensure that the organization’s accounting processes are timely, accurate, efficient, and consistent.

The Senior Accountant is responsible for the program and project grant accounting of ALDF and work with other ALDF Directors and Managers, as well as providing reporting and presenting financial data related to restricted income and expenses. The Senior Accountant will also assist with the supporting schedules and transactions for the annual financial audit and 990 tax return.

The Senior Accountant will also learn and step in for other finance staff as a back-up. The successful candidate will have excellent knowledge of accounting and finance, with a preference in non-profit accounting.

Responsibilities:

Accounting and Finance tasks include but are not limited to:

Program and project grant accounting (30%)

  • Manage all aspects of restricted funding tracking, reporting and coordination with Legal Campaigns Program Director, Development, and Programs.
  • Monthly reconciliation of restricted funding and release of funds (income) in the general ledger.
  • Maintain the master spreadsheet for the restricted funding, by donor, program, purpose, type, amount, period, and releases.
  • Maintain financial records for each project and grant in a manner that facilitates management reports.
  • Ensure that accurate and timely statements are prepared in accordance with contract agreements and donor budget.
  • Coordinate with staff to collect data for legislative activities and timesheets.
  • Create and manage lobbying reports for General Counsel.
  • Provide donor reports as required or requested by Development and other departments.

Accounting and Reporting Duties (30%)

  • Analytical review and understanding department budgets versus actuals. Participate in the annual budget process by reviewing department budgets for consistency and providing key staff assistance with budget input.
  • Run reports and upload data from the accounting software to the budget system (monthly).
  • Provide assistance with requests regarding budget vs. actuals reports.
  • Analyze and report any variances and follow-up with department managers/directors for any material differences on budget vs actual reports.
  • Assist with the expense allocations of program, development, and operation costs. Document explanations.
  • Assist with other reporting duties of Federal, State, and Local compliance. Prepare the necessary supporting documentation.
  • Prepare documentation for new accounting rules and standard business practices.
  • Prepare specialized financial reports as requested by the Finance Director.
  • Assist with quarterly finance reporting and prepare the supporting schedules.

Reconciliation and Preparation of Schedules (25%)

  • Participate in the month-end close of the books. Assist finance staff with reconciliations and accounting schedules for Balance Sheet, Income, and Expense accounts.
  • Reconcile monthly activities (gains/losses, interest/dividends, transfers, fees, etc.) for investment accounts and record the journal entries.
  • Assist in compiling necessary data and reports for the annual audit. Prepare the audit schedules for the fiscal year-end.
  • Prepare supporting schedules for the 990 annual tax return.
  • Provide analysis and reports as requested by Finance Director.
  • Assist with documenting procedures for tasks performed for this position.
  • Other tasks and reconciliations, as required.

Other Duties (15%)

  • Cross train on accounting processes, as necessary.
  • Step-in as backup for other finance staff, when needed.
  • Routine requests for information and support from other ALDF team members.
  • Ad hoc projects from the Finance Director, as deemed necessary.
  • Assist with the transition and migration of the payroll platform, as necessary. 
  • Assist with the transition and migration of the accounting software, as necessary. Assist with creating custom reports for departments.

Qualifications:

  • BS, BA, or AA in Accounting, Business, or equivalent knowledge and experience in this field.
  • 5+ years of direct accounting experience.
  • Expertise in QuickBooks Enterprise and Microsoft Excel, Outlook, Word. Additional software includes Adobe Acrobat Pro, MS Teams, Budgyt, and other online programs.
  • Understanding of general accounting concepts and accounting for non-profits.
  • Independent and self-motivated with good organizational and prioritization skills.
  • Strong analytical, critical thinking, and problem-solving skills.
  • Excellent verbal and written communication skills.
  • Capable of consistently handling multiple projects & meeting deadlines.
  • Strong attention to detail and ability to identify transactions requiring follow-up and resolution.
  • Agile with ability to troubleshoot accounting software and conduct efficient web research.
  • Excellent organizational and prioritization skills.
  • Must have positive attitude and work well in a team-oriented work environment.

Nice to have and other desirable experience:

  • Cloud Expense software experience, including Sage Intacct.
  • Previous experience with assisting in financial audits.
  • Experience working for non-profit organizations.
  • Payroll, HR software experience (IBS, Paylocity, or Rippling).
  • Interest and experience with animal welfare issues and be committed to the mission of the Animal Legal Defense Fund.
