People Operations Coordinator 🔥


The People Operations Coordinator will be responsible for supporting day-to-day people operations which include employee inquiries, office management, human resources process and policies, hiring/recruiting, and onboarding/offboarding. In addition to the People Operations Manager, you will support the Executive Team and our DEI Committee on special projects, reporting, and people-related events. You are a strong communicator, creative problem solver, and an empathetic listener. While you will be working closely with a supportive team, you should also be comfortable working independently, and demonstrate initiative, ownership, and responsibility.

What You Will Do

You will be part of our Administrative team. The position has a diverse set of activities that will change from week to week, including:

Employee Life Cycle
  • Assist with new hire onboarding, including data and paperwork collection, orientation and welcome meetings, and pre-hire communication
  • Be an expert resource for employees and managers on Azavea policies, benefits, processes, and guidelines
  • Maintain our Human Resource Information System and keep personnel records up to date with internal partners and benefits vendors
  • Support employee engagement initiatives, including annual and quarterly engagement surveys, planning monthly and annual All-Company meetings, volunteer activities, employee committee events, office improvement projects, and recognition programs
  • Support diversity, equity, and inclusion (DEI) objectives and initiatives through training and learning sessions, team discussions, volunteer opportunities, or other projects that seek to incorporate a DEI focus into company culture and work
Office Management
  • Tracking and ordering the supplies we need to do our work
  • Monitor and manage company general email account
  • Ensure that the office is organized and stocked with supplies, snacks, and enough coffee to keep everyone happy
  • Manage setup and breakdown of office events
Recruitment
  • Set up new job openings in our applicant tracking system and distribute opportunities across job boards, social media platforms, and our email mailing lists
  • Coordinate with external staffing agencies and media partners to promote our openings and career opportunities
  • Attend career fairs and similar events to promote careers at Azavea
  • Schedule interviews, organize travel arrangements and communicate with candidates as they progress through the hiring pipeline
  • Support our commitment to building an equitable hiring process by monitoring candidate pass-through rate data, researching and evaluating sourcing opportunities to reach marginalized candidates, and tracking the impact of changes to our hiring process
You should

A note on hiring during the COVID-19 pandemic 

The majority of our colleagues have historically worked out of our Philadelphia office, but during the pandemic we transitioned the entire company to remote work. While many of our colleagues are continuing to work remotely, for the time being, the office is now open and we can accommodate interviews depending on the health and safety concerns of you and our team. We are fortunate to have invested in meaningful work-from-home tools and processes over the years and have been able to continue providing a secure, flexible, and safe work environment for all of our colleagues. We ask for your patience as we adapt our hiring process as well, and are happy to answer any questions or concerns about the process.


Office and Benefits

Our Philadelphia headquarters is located in a brightly lit office on the 5th floor of a converted factory building in the Callowhill neighborhood, a short walk from Center City, the Reading Terminal Market, and SEPTA subway and regional rail stations. For bicyclists, we have in-house bike parking, showers, and lockers. The office itself is assembled as an open office plan with many smaller rooms and flexible spaces for team meetings and concentration time. You get your own desk with a Linux workstation or Apple laptop and extra monitors. We have flex time to deal with personal stuff, and most people work a 40 - 45 hour week on a regular schedule. After the first six months, our staff can also spend up to 10% of their time on an open-source, professional development, or R&D project. Recent 10% time projects have included experiments with data automation and Google Data Studio as well as learning projects on marketing and product management.
