Center Administrative & Relationship Associate - Early Intervention Center - Bronx Center For Autism 🔥


As the Center Administrative & Relationship Associate, you’ll be a primary point of contact for our staff, families, and donors. You’ll act as the “face” of McCarton Center Bronx! You will report to our center in the Bronx each day to support our program, administrative, and operations teams to achieve the following:


  • Build a welcoming and collaborative community environment amongst our families and staff by building strong relationships!
  • Ensure that our building is fully operational and processes are running efficiently.
  • Drive growth and promotion of McCarton-provided service offerings.
  • Take direction from the Chief Operations Officer and the Center & Home Program Directors to support their teams as necessary.
  • All of this while illustrating McCarton’s core values and working towards achieving our mission.

 In this role, you’ll be responsible for:

Front Desk Management:

  • Cover the front desk during the building’s set business hours and be an on-site point of contact, easily located at the welcome desk.
  • Greet staff and families and donors with a warm and welcoming demeanor.
  • Ensure all visiting guests are in accordance with McCarton’s guest policy by ensuring all guests properly sign-in and are provided with guest identification badges.
  • Learn the names of staff members and families with the goal of building relationships in order to facilitate the sense of community McCarton is known for.
  • Anticipate staff and family needs before they arise using relevant information collected about staff members and families to enhance and personalize their experience.
  • Ensure building specific forms are up to date including fire inspection forms, pest control logs, attendance records, etc.
  • Keep the welcome desk and lobby clean and organized.
  • Notify staff members of any food deliveries and couriers.
  • Answer any questions from staff members. families, and guests related to the building including directions, policies and procedures, community etiquette, etc.

Building Operations and Management:

  • Receive, process, sort, and organize all mail.
  • Manage, track, and organize all incoming and outgoing packages and shipments.
  • Return to Sender’ for unidentified mail and former staff member mail after 30 days of no-pick up.
  • Ensure courier parcels have all the correct details for scheduled pick-ups.
  • Investigate, escalate, and resolve any issues with incoming packages.
  • Know and explain McCarton policies and procedures around mail and packages.
  • Track, audit, and organize keys collected and distributed.
  • Manage keycard stock and request new inventory as needed.
  • Collect keys and key cards upon changes in staffing.
  • Review location and how to use each piece of Emergency Equipment.

Staff & Family Support & Engagement:

  • Support all teams in reserving and preparing meeting spaces for meetings, trainings, etc.
  • Support HR in consistently celebrating staff members’ successes and milestones through small events, gifts, and notes.
  • Distribute all necessary info to promote special staff and family events (such as graduation ceremonies, staff appreciation events, etc.)
  • Ensure building-specific operational requirements are met for each event (arrangement of furniture, HVAC, etc).
  • Input attendance information and notes into Salesforce or equivalent system.
  • Identify and execute opportunities to connect staff members and families with each other.
  • Be active on McCarton’s social media platforms and Slack to engage staff members, answer questions, and be a resource to staff regarding everything from ordering supplies to recommendations about food delivery services to questions about mail, etc.
  • Know and explain McCarton policies and procedures and communicate, inform, and update staff members on building issues.
  • Write and send broadcasts relating to building updates to staff members and families.
  • Provide support for an automated coffee machine for guests and staff members.

YOU MUST HAVE…

  • 2+ years of full-time work experience in administrative, reception, customer service, project management or a related field
  • Strong attention to detail and the ability to deliver tasks on deadline 
  • A unique ability to multi-task and stay focused on the big picture
  • A positive, team-oriented, can-do attitude
  • Proficiency in Apple, Google, and Microsoft products

We utilize the McCarton Integrated Model, which combines speech and language therapy, fine and gross motor therapy, sensory integration therapy, socialization with peers, developmental play skills and applied behavior analysis (ABA) therapy.
