About Us

The National Genealogical Society (NGS) is a membership society based in Falls Church, Virginia, that serves the genealogy and family history community. NGS serves an individual member base of approximately 10,000 professional and amateur genealogists and family historians as well as approximately 500 member organizations including local genealogy societies, libraries, archives, and museums. We foster collaboration and best practices in advocacy, education, preservation, and research. We enable people, cultures, and organizations to discover the past and create a lasting legacy.

NGS is a small-staff organization with five full-time positions supplemented by contractors and editors.

This position may be filled on-site in Falls Church, Virginia, or work from home (WFH).

Position Summary

The Organizations and Communities Manager has a dual role to (A) manage NGS’s genealogical organization membership, as well as (B) implement and manage NGS’s HigherLogic communities and email marketing platform.

A.    Genealogy Organization Membership (50 percent)

This function is similar to a “component relations” manager. The successful candidate will ensure the health and development of genealogy organizations through efficient services, programs, and operational support. The person will manage programs and services to support the needs of genealogy organizations. She/he/they will also develop new benefits for genealogy organizations.

The successful candidate will manage the full membership experience for genealogy organizations. This includes recruiting and retaining genealogy organization members.

The person will be the principal manager of the Delegate Council, working with council leaders to develop meeting agendas, plan council meetings (in-person and virtual), and ensure that follow-up actions are completed.

The manager will execute promotional campaigns showcasing organization member benefits and highlighting member organizations. She/he/they will also be the principal staff person for managing awards for the organization membership base.

The successful candidate will have the primary responsibility to create systems that effectively serve NGS member organizations, including developing organization leaders. She/he/they will assist NGS member organization leaders in improving their ability to operate efficiently and focus on delivering on their missions. The successful candidate will have 5-7 years of experience in component relations and/or membership services.

Essential Duties and Responsibilities

Overall Duties

•    Serve as the principal manager for all organization members’ needs

•    Serve as principal manager of the Delegate Council, NGS’s advisory body for organization members

•    Maintain strong partnerships with NGS member organizations and leadership by ensuring efficient operational support and maintaining service offerings

•    Nurture and build trust with organization leaders

•    Establish NGS as an authority on genealogy organization management

•    Represent NGS at appropriate events

Organization Programs and Content

•    Develop and present relevant content to support member organizations

•    Initiate and/or develop, and disseminate digital assets (webinars, videos, whitepapers) on best practices for genealogy organizations, including managing the Info & Answers whitepaper series

•    Serve as the principal staff person for developing the Focus on Societies and SLAM! Idea Showcase events

•    Manage awards programs operated by the Delegate Council

Membership Growth

•    Develop and target annual growth of organization members

•    Develop and implement strategies to recruit, retain, and reactivate organization members

•    Develop and implement processes that track and assess organization member engagement and satisfaction and other data required to provide insights to support growth

•    Maintain accurate membership records through NGS’s association management system (Impexium)

•    Ensure timely processing of organization members’ email inquiries

•    Oversee annual leadership roster submissions and ensure accurate upload to Impexium

Organization Membership Marketing

•    Ensure membership assets are relevant and accessible to stakeholders

o    Oversee regular updates to organization webpages

o    Develop email marketing campaigns for organization members

o    Speak about organization membership programs, services, and benefits at quarterly meetings of the Delegate Council, member organization meetings, and the annual conference

o    Ensure organization member accomplishments are recognized


B.    HigherLogic Communities and Email Marketing (50 percent)

This function is a HigherLogic community manager role. The person is responsible for overseeing the implementation and operation of HigherLogic communities and serving as the lead communities manager. In addition, the person will be the primary manager of the HigherLogic email marketing platform (RealMagnet). She/he/they will work with the membership department, marketing and communications volunteers, and other staff to implement automated and push email campaigns.

The successful candidate will have at least three years of experience managing HigherLogic communities and experience with email marketing. The successful candidate is responsible for the development and day-to-day operation of NGS’s online communities, including those currently operating on social media platforms.

The successful candidate will have the primary responsibility to create systems that support member engagement in NGS’s HigherLogic communities, including developing volunteer online community leaders. She/he/they will assist volunteers and users in understanding the technology, learning about best practices in community management, and developing standards and guidelines.

The Organizations and Communities Manager is one of the most visible faces of NGS, interacting daily with members, leaders, and leaders of genealogy organizations throughout the United States.

Essential Duties and Responsibilities

HigherLogic Communities

•    Develop and implement an overall community strategy to meet NGS’s strategic and member engagement priorities

•    Develop and implement plans to grow NGS’s online community

•    Implement and lead audience engagement for NGS’ online community including social media accounts

•    Provide technical support and customer service for staff, volunteer leaders, members, and users

•    Monitor the day-to-day health and behavior of the online community

•    Identify opportunities for new programming as well as threats to the community’s well-being and NGS’ brand

•    Work closely with all staff to ensure a seamless experience that encourages participation and ongoing content development

•    Engage members through best practices, including posting events and announcements, monitoring community member posts and activity, refreshing knowledge centers, seeding discussions to engage in online dialogues, and responding to users in an appropriate timeframe

•    Develop and implement community strategies that support the use of NGS programs and purchase of NGS products, and coordinate this engagement with other marketing and communication plans

•    Respond appropriately to contacts made with NGS through social media channels

•    Collect, analyze, and share data about NGS’ communities with relevant stakeholders to help identify trends and report on key metrics

•    Train and assist volunteer leaders, members, and staff in using the communities through presentations and online resources

•    Manage NGS’ relationship with HigherLogic to ensure best practices and oversee all technical aspects of the online community, including working with HigherLogic to address, resolve, and communicate issues related to the features and functionality of the platform

•    Develop, maintain, and provide community training resources, guidelines, and policies for internal and external users

•    Train and empower community champions (staff, volunteers, and sponsors) to participate on a more significant engagement level

•    Assist volunteers with developing and deploying new communities and with re-establishing or eliminating inactive communities.

HigherLogic Email Marketing

•    Manage NGS’ email marketing program, including day-to-day management of RealMagnet and maintenance of an email marketing calendar/schedule

•    Design and implement effective email marketing campaigns in conjunction with the marketing and communications team

•    Design and implement effective membership drip campaigns for both the individual and organization membership groups

•    Manage NGS’s contracts with genealogy companies for email marketing including reporting on campaign statistics

•    Analyze and report on email marketing campaigns to ensure open and click-through rates remain stable or grow.

•    Develop and implement strategies to improve email marketing

•    Maintain up-to-date knowledge of email marketing strategies and provide tips and training to volunteers and staff. Support NGS organization members in improving their email marketing.

Qualifications

•    Degree in nonprofit management, business, marketing, or similar, or CAE credential.

•    At least five years of experience in an association or nonprofit.

•    Must have experience with online community management (Higher Logic preferred).

•    Must have experience with Impexium or other similar association management systems.

•    Proven understanding of component relations and nonprofit/association management.

•    Proven customer service excellence.

•    Strong knowledge of online analytics and data reporting.

•    Excellent communication and project management skills.

•    Proven ability to multitask.

•    Excellent public speaking and interpersonal skills.

•    Ability to represent NGS effectively in a variety of settings and diverse communities.

•    Experience with volunteer management.

•    Experience and understanding of social media platforms.

Physical Demands

The majority of work is performed on a personal computer sitting at a desk for long periods throughout the day. Although minimal lifting is required for this position, one must be able to lift boxes of event and conference materials. Travel to NGS conference and member organization meetings is required. Evening and weekend work required, particularly during the height of the conference. Standing for long periods and walking at meetings is required.  Ability to remain professional in stressful situations.

Work Environment

Fast-paced, professional environment with moderate noise levels. Must be able to use a computer at a workstation for long periods and to accommodate potentially frequent interruptions. Travel requirements equate to approximately two weeks per year, COVID-19 safety precautions permitting. Currently, most staff are working remotely due to the pandemic which will be reassessed in August 2021. We operate in a Google environment and use Zoom regularly for meetings.

The position is 40-hours per week.
